Tasks - Maintain Documents

1 - Introduction

The document manager allows the user a wide control of a worker’s documents. This page works as a directory where is possible to link archives to workers and even share with them, if the worker has MyDRAKE.

2 - Permissions

 

To access this functionality, the permission “Maintain Documents” must be granted to the responsible profiles for operate and control the functionality.

3 - Access

3.1 Go to the options on menu: Tasks > Documents > Maintain Documents.

 

3.2 The page “Document Manager“ will be displayed.

 

4 - Document search

4.1 Use the search filters to locate the documents of a specific worker.

4.2 It will be necessary to inform at least the worker’s name. The more filters are informed, more specific the search result will be.

After filled, click on “Do Search“.

4.3 The found documents will be displayed:.

 

5 - Adding a new document

5.1 To add a new document, click on the “Add” button.

5.2 Fill the fields accordingly to the document to be added.

  • Worker: Add the worker’s name the document belongs to. If the user selects to add a document after searching for a worker by name, the field will be filled automatically.

  • Title: Inform a name to the document.

  • Tag(s): Add one or more tags to the document. To add , write the tag name and press “Enter”. This can be repeated for each tag inserted.

  • Select Folder: Folder the document will be added to.



5.3 It will be possible to attach files. To attach, grab the file to the window or click above the selected field and add the file.

5.4 After adding the document, click on “Save“ to finish and confirm the attachment.

5.5 The file will be listed with other documents of the selected worker.

 

6 - Changing the attachment information

6.1 To change a file data, the first step is to select the file.

 

A panel will be displayed on the right side of the page containing the file’s data. It will be possible to change the name or add/delete tags. After changing the necessary information, click on “Apply Changes“ to finish.

Note: To add new tags, the process is the same as the topic 5.2.

6.2 To add only new tags, will be possible on another way. After selecting the file, click on “Add Tags“.

Note: To add the same tag on more than one file, press the button “Ctrl” and select the files by clicking above them

Add the tags and finish by clicking on “Save“.

 

7- Deleting files

7.1 To delete a file, select it and click on Remove.

To delete multiple files, press the button “Ctrl” and select the files by clicking above them
