Tasks - Campaigns

1 - Introduction

The campaigns allow different company departments to communicate with the workforce through MyDrake. As many common examples, it allows the departments to request forms filling or sending information to the workers.

It is possible to define the period the campaign will happen, the frequency they are being sent to the workers and which workers will be impacted.

The steps the workers will perform are defined through a generic type of flow. ().


2 - Permissions

To access this functionality the permission “Maintain campaigns” must be given to the responsible profiles to manage the registration.

3 - Steps

3.1 Access the page to share contacts on Tasks > Campaigns.

3.2 Here will be listed all the campaigns worked. To start a new campaign, click on the button to add .

3.3 Done this, the page “Campaign/New” will be displayed.

Can be a sequential code generated by DRAKE or created manually (if the parameter “Insert the campaign code manually“ is enabled - check for more details.

Indicates the period the campaign will be sent to the workers in the process - Single, Daily, Weekly, Monthly or Yearly.

Time

Defines the time of sending the campaign. It will be on worker's MyDrake inbox. This information is important due to allow the defined user to determine the best time the worker will be informed that something needs to be done.

Flow

Determines the flow used by the Inbox item which will be created.

This flow can be previously created by Sapiensia team and sent to the customer. In case of doubts, talk to your Customer Success Consultant or know further in the link:

3.4 Fill the fields on the upper corner and click on “Save“.

After filling the information, the system will indicate the quantity of sends previewed and clicking above the information is displayed a pannel with all the dates.

 

4 - Adding workers

4.1 After filling the basic information and save the campaign for the first time, the system will allow to add the workers. For this, click on the “Add” button on the right corner of the page.

4.2 Select the workers that will be on this campaign and click on “Add” on the lower corner of the page. You can use the filters to find easily the worker to be selected.

A Campaign can only be started if it has at least one worker. After starting the campaign, the list of workers can be change anytime. With this, you can include new workers and remove others anytime as well. When this is done, the next “predicted shots” will be scheduled for the new workers and the workers that have been removed will have the next “shots” cancelled.

After clicking on the button “add”, the workers will be added to the campaign automatically, not being necessary to click on the “back” button.


5 - Starting and finishing a campaign

5.1 With all filled, click on the icon “Start“ to indicate the system a campaign can be started.

The system will analyze if the “shots” can be scheduled. If “start” was not clicked, the system will ignore the “shots”. When creating a future campaign, you can start immediately, since DRAKE will send the shots automatically when the informed date to start the campaign arrives.

5.2 Or when a campaign is already started and you wish to finish it before the predicted date defined to end, click on “Finish”. The system will cancel the scheduled shots.

 

6 - Shots and attachments

6.1 To view the shots, click on the tab “Shots“ where will be listed all the shots occurred and upcoming. Generally are scheduled the shots of D+1 (next day). On the tab of shots, the information is group initially by date, however the user can group any of the available columns (and more than one).

6.2 On the tab “Attachments“ you can add documents to be available to the worker. In this case, when informing an attachment, it will be available for all the status of the flow that are marked as “Allow worker to view“

 


Done! Now we have a campaign generated on Drake!

Now, depending of the defined frequency on your campaign and the flow used, the workers involved in this campaign will start having Inbox item on MyDrake.

Below there is a campaign example which daily few worker will need to fill a form to follow-up the COVID-19 symptoms.

 

While opening the Inbox, the worker can fill the defined form and send back to the responsible department to analyze the answers.
