Tasks - Certificates

1 - Introduction

In this page of the system is possible to view all the certificates regarding workers' trainings. These certificates can be generated automatically after approving a scheduled training or manually included. Only when the certificate is set on the system, the missing information on “Personnel Requirements“ (Tasks - Personnel Requirements ) is complete, as the compliance is set by the Reports.


2 - Permissions

To access this page, the option "Certificate" must be granted to the responsible profiles for controlling the functionality.

To have access to export the documents, the option "Download: Export Certificates" must be granted to the responsible profiles for controlling the functionality.

To access to deleting certificates attached, the option "Maintain Documents" must be granted to the responsible profiles for controlling the functionality.

3 - Access

3.1 Go to the page by following the menu: Tasks > Training > Certificates.



3.2 Use the sidebar of the “Search Filters“, to display specific information. By defining the filters, the page will be updated displaying only the requested information.

On the image below, the filter was used to display information about the worker ““ on the upper search bar, however the sidebar can be used if you prefer to use advanced search options.

 

 

  • Worker: Worker’s name

  • Register: Certificate’s registering number
    Job: Worker’s job

  • Operational Unit: Worker’s Operational Unit

  • Status: Worker’s Status (Active, Inactive, Absent or Contracting)

  • Issuer: Name of the certificate’s issuer

  • Qualification: Qualification’s name

  • Number: Certificate’s Number

  • Certificate Type: Type of issued certificate

  • Issued date: Date of the certificate’s issue

  • Valid until: Due date of the certificate

  • Received at: Date the certificate was received

  • Meets requirement: If the course attends to the matrix

  • Training code: Code of the registered course

  • Course: Name of the course

  • Training start: Date of the course’s start

  • Training end: Date of the course’s completion

  • Online Training: If the course has been performed Online (Yes, No)

  • Training Provider: Supplier the course was

  • Received: Inform if the worker received the certificate (Yes, No)

 

 

3.3 On the upper search bar it is possible to sort the searches by alphabetical, numerical, or by date order, as displayed on item 3.2.

 

3.4 The certificates boxes are organized in 5 columns, as displayed below:

4 - Adding a certificate manually

4.1 If exists a certificate that hasn’t been generated by a scheduled training on DRAKE, it will be added manually. For this, click on the icon ““ on the right upper corner of the page, to add a new certificate.

(In this case, only the tab of “Information“ will be available, since the tab “Training“ is generated automatically after completing the registered training on DRAKE).

Information Tab

 

  • Worker: Worker’s Name.

  • Certifier: Training Center the certificate was issued.

  • Number: Certificate number. If it is an internal training, this number will be generated automatically after completing the course, if not, this field will be available to be changed and filled with the certificate number sent by the training center.

  • Type: Certificate type (Ex: Certificate and card) 

  • Qualification: Which qualification the certificate belogs to.

  • Issue Date: Certificate’s issue date.

  • Valid Until: Certificate’s expiration date.

  • Receipt Date: Date the certificate was received. (When clicking on the button “Today“ the field will be automatically filled with the current date).

  • Drop file or click to upload: Field to add attachments, such as documents or images that belongs to that certificate.

 

4.2 After filling the fields, the option to save will be available. Click on “Save“ on the right lower corner of the window.


5 - Changing Information of a Certificate

5.1 To change any information, search for the certificate and double click above it.

  • If the certificate is from a course already registered on DRAKE, the tab “Training“ will display available for searching.

 

 

  • If the certificate has been manually created, the tab “Information” will be available.

 

5.2 Next, change the information and finish by clicking on “Save“.


6 - Exporting Documents

6.1 To export certificates, click above the icon “Export Documents“ on the right upper corner of the page:

6.2 After this, the window “Export Documents“ will set the options to export.

Is this exportation related to a period on board?

If checked, DRAKE will request to be informed the time interval with start date and end date.

Operational Unit

Select the Operational Unit related to the qualification. Related article: LINK RECORDS - UNITS

Matrix

Select the Qualification Matrix related to this qualification. Related qarticle: Records - Qualification Matrix

Qualification Need Type

Select the Requirement Type related to this qualification. Related article: Records - Requirement Types

Qualification

Select the qualification of the certificate. Related article: Records - Qualifications

Worker Type

Select the worker type.

 

6.3 After filling click on “Export“. A message will be displayed informing that ““

“Seu download entrou na fila de processamento e será disponibilizado após alguns minutos no nossa Central de Download. Para acessá-la clique no botão abaixo!”

When clicking in the button you will be redirected to the download central on DRAKE. Related article: Tarefas - Central de Downloads


7 - Attach, Print or Delete 

7.1 To select a certificate, click above the selected box. To select more than one certificate, click above the boxes by pressing “Ctrl“ (on the keyboard).

7.2 By selecting one or more certificates, the options “Attach“, “Print“ and “Remove“ will be available on the upper corner of the page.

Attach

Allows the user to attach the certificate file (attendance list) to the workers’s group selected simoutaneously.

Print

Allows to print the selected certificates

Remove

Allows to delete the selected certificates.
