Records - Vacancies Plan

1- Introduction

According to the number of vacancies included in a contract register, the vacancy plan allows direct monitoring of workers who correspond to these vacancies, as well as possible embark validations. To create a vacancy plan, it is necessary to register a contract (Records- Contracts). To create a vacancy plan, the validators (Parameters - Schedule Validators) set in the parameter are calculated.

In this article, we will see how to register a vacancy plan and how to consult it.

 


2 - Permissions

To register a vacancies plan and consult it after, the user must have specific permissions to do so. These permissions must be granted to the profiles responsible for controlling the functionalities.

The first permission that must be granted is the permission “Manage Vacancies Plan“. This permission is responsible for allowing access and performing the structural registration of the vacancies plan.

Other permission that must be granted is the permission “Visualize Vacancies Distribution". This permission is resposible for the access to the screen where can be consulted the vacancies plan, being possible to visualize the vacancies distribution in a contract.


3 - Registering Vacancies Plan

This functionality allows the creation of vacancy plans for the operational units, from which it is possible to control the staff, using or not an additional validator (Sispat, certifications, ASO, passport, visa, etc.)

3.1 By having the permission “Manage Vacancies Plan”, a vacancies plan can be already registered. To do this, go to: Records > Crew Change> Vacancies Plan

3.2 Done that, the screen “Vacancies Plan” will be displayed listing all vacancies plan already registered. To add a new plan, click on “Add”.

 

3.3 After clicking on "Add", a new window will display. Inform a name for the vacancies plan and which contract it will be attached to.

3.4 To add validators, click on “Add”.

 

3.5 Once this is done, the window “Validation Rule” will appear. Enter a name for the validation rule and click "Add" again to enter a validator.

3.6 After clicking on “Add”, the window “Validator” will open. Select the information and click on “Save and Close” to finish.

 

  • Validator: Which type of validator that will be used.

  • Configuration: Which configuration will be applied.

3.7 After setting the validation rule, click on  "Save and Close" to finish the process or  "Save and New" to save and start a new vacancies plan register.

 

4 - How to consult Vacancies Plan

4.1  To consult a vacancies plan, go to: Reports > Crew Change> Vacancies Plan.

 

4.2 After that, the screen below will be displayed. Choose the vacancies plan you aim to consult.

4.3 After this, the consult will be generated, showing the information regarding the vacancies plan selected.

According to the number of vacancies per job on contract, the consult will list which workers are filling those vacancies and will show some information regarding the workers.

4.5 On the last columns will be possible to view the recorded validations for vacancies plan. On the example below will be displayed the validation “Maintenance” (Validator: “Maintenance”) registered previously on topic 3.

 

5 - How to export to Excel

5.1 To export the consulted information to excel, click on “Export to Excel”.
